Syndik8 Terms of Service
Effective date: 7 July 2026
Welcome to Syndik8 (syndik8.app). Please read these Terms of Service carefully before using the service. By accessing or using Syndik8, you agree to be bound by these terms.
1. Acceptance of Terms
By creating an account or using Syndik8, you confirm that you are at least 18 years of age and have the legal capacity to enter into these terms. If you are using Syndik8 on behalf of an organisation, you confirm that you have authority to bind that organisation to these terms.
2. Description of Service
Syndik8 is a scheduling and asset management platform that helps groups of co-owners manage shared assets such as aircraft. The service provides tools for booking, maintenance tracking, usage logging, and cost sharing.
Syndik8 is a software tool only. It does not provide legal, financial, safety, or regulatory advice.
3. User Accounts
You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You must notify us immediately at [email protected] if you suspect unauthorised access to your account.
4. Acceptable Use
You agree to use Syndik8 only for lawful purposes and in accordance with these terms. You must not:
- Use the service to facilitate illegal activity
- Attempt to gain unauthorised access to other users' accounts or data
- Transmit harmful, offensive, or malicious content
- Use the service in a way that could damage, disable, or impair it
- Misrepresent your identity or affiliation
5. Subscriptions and Payments
Syndik8 offers a free tier and paid subscription tiers. Paid subscriptions are billed monthly or annually at the rates displayed at the time of purchase. Displayed subscription prices include VAT at the prevailing UK rate; the VAT-exclusive amount and the VAT charged are itemised at checkout and on your invoice.
Subscription payments are processed by our third-party payment provider. By subscribing, you also agree to that provider's terms of service. Syndik8 does not store your full card details; these are held securely by the payment provider.
Subscriptions renew automatically at the end of each billing period unless you cancel before the renewal date. You can cancel your subscription at any time from your account settings or by contacting us at [email protected]. Cancellation takes effect at the end of the current billing period — you will retain access to paid features until then.
If you cancel within 14 days of a new subscription or a renewal that commits you to a further period, you may request a pro-rata refund for the unused portion. Outside this window, we do not generally offer refunds, but you can contact us and we will consider requests on a case-by-case basis.
We may change subscription prices with at least 30 days' written notice. If you do not wish to continue at the new price, you may cancel before the new rate takes effect.
6. Platform Transaction Fee
Where a syndicate uses Syndik8's in-app payment features to collect dues, usage charges, or expense settlements from members, Syndik8 charges a platform fee on each transaction. The platform fee rate that applies to a syndicate is set for that syndicate, and may differ between syndicates; the rate is displayed to the syndicate's owners and administrators during payment setup and on the billing settings screen.
In-app payments are processed by our third-party payment provider, Stripe. The syndicate is the merchant of record: funds are settled to the syndicate, and both Syndik8's platform fee and Stripe's payment-processing fees are deducted from the amount the syndicate receives, rather than being charged separately to the paying member. Stripe's processing fees are set by Stripe and published at https://stripe.com/gb/pricing; they apply in addition to Syndik8's platform fee. By enabling in-app payments, the syndicate also agrees to the Stripe Connected Account Agreement presented during payment setup.
We may change a syndicate's platform fee rate with at least 30 days' written notice to the syndicate's owners and administrators. If they do not wish to continue at the new rate, they may disable in-app payments and settle externally before the new rate takes effect.
7. Liability Disclaimer
Syndik8 is a scheduling and management tool.
To the fullest extent permitted by applicable law, Syndik8 and its operators accept no liability for:
- Asset damage, loss, or destruction arising from or in connection with bookings made through the platform
- Personal injury, death, or property damage arising from the use or operation of any shared asset
- Safety incidents related to the operation of aircraft or any other shared asset
- Financial disputes between syndicate members, including disagreements over costs, charges, expenses, or settlements
- Regulatory non-compliance by operators or users of shared assets
- Decisions made by syndicate members on the basis of data shown in the platform, including but not limited to maintenance tracking data, usage logs, and scheduling information
- The accuracy, completeness, or timeliness of data entered by users of the platform
For aviation syndicates: Syndik8 does not make airworthiness determinations. The Pilot in Command retains sole responsibility for ensuring the aircraft is safe and airworthy before every flight, and for compliance with all applicable aviation regulations. Maintenance tracking features are provided as informational aids only and do not replace the legal requirement to verify the aircraft's maintenance status independently. Pilot currency — holding a valid medical certificate, a current pilot licence, and meeting recency requirements before every flight — is similarly the Pilot in Command's sole responsibility under the Air Navigation Order 2016 and applicable Part-MED and Part-FCL rules. Renewal reminders and booking warnings shown by Syndik8 are informational only and must not be relied on as regulatory or operational clearance to fly.
8. Limitation of Liability
To the maximum extent permitted by law, Syndik8's total liability to you for any claim arising out of or relating to these terms or the service shall not exceed the amount you paid for the service in the 12 months preceding the claim, or £100 (whichever is greater).
Syndik8 is provided "as is" and "as available" without warranties of any kind, either express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, or non-infringement.
Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited under English law.
9. Your Content and Data
You retain ownership of all content you create or upload to Syndik8, including booking records, maintenance logs, photographs, expense receipts, documents, and usage data ("Your Content").
By using the service, you grant Syndik8 a non-exclusive, worldwide licence to store, display, and process Your Content solely for the purpose of providing and improving the service. This licence ends when you delete Your Content or close your account.
Content you create within a syndicate (such as bookings, maintenance entries, and financial records) may be visible to other members of that syndicate in accordance with the syndicate's privacy settings. You acknowledge that other members may retain copies of shared records even after you leave a syndicate.
You may request an export of your personal data at any time by contacting [email protected]. We will provide your data in a commonly used, machine-readable format within 30 days.
9.1 Documents and Files
Syndik8 provides a document library where syndicate administrators can upload files associated with the syndicate or its assets — for example: insurance certificates, registration documents, aircraft manuals, maintenance records, and similar reference material. Documents uploaded to a syndicate or asset area are visible to every member of that syndicate.
To support use without internet access (for example, at airfields or remote locations), Syndik8 may store copies of eligible documents on your device for offline reading: asset and syndicate documents you are entitled to see, and your own personal pilot documents (section 9.2). Local copies are stored in the application's private storage area on your device.
Local copies of asset and syndicate documents are removed when the document is removed from Syndik8, when you leave the syndicate that holds them, or when you uninstall the app. Local copies of your own personal pilot documents are removed when you delete the document (or its certificate file) from Syndik8 and when you uninstall the app; because they belong to you rather than to any syndicate, they are not removed when you leave a syndicate.
Local copies are not removed when you sign out. This is deliberate: the offline copy exists so your papers are available where there is no signal, and a sign-out wipe would defeat that. After you sign out the copies are no longer viewable in the app, but their bytes remain in the app's private storage until the document is deleted or the app is uninstalled, so avoid recording personal documents on a shared device. Server-side withdrawal of access, for example after a member leaves a syndicate, takes effect on the next sync; copies already on a device may persist until that sync completes.
When a member leaves a syndicate, documents they previously uploaded to a syndicate or asset area remain with the syndicate for the benefit of the remaining members. The departing member's access to those documents is removed.
9.2 Pilot Documents and Medical Consent
You may optionally record personal aviation documents in your own personal document area in Syndik8: a pilot medical certificate and a pilot licence. None of this is required to use Syndik8.
For your medical you can choose how much to store:
- Record the expiry date only. Syndik8 stores just the expiry date of your medical. No certificate file is uploaded or stored anywhere.
- Upload the certificate as well. In addition to the expiry date, Syndik8 stores the certificate file itself so it is available on your own devices, including offline. The file is for your use only; nothing shown to any other user is derived from it.
Unlike syndicate and asset documents, your personal pilot documents are held under owner-only access controls: the document file itself is never visible to any syndicate administrator or to any other user, and is never copied to any other member's device.
Pilot licences. If you upload a pilot licence, the administrators of every syndicate you are presently a member of, and the administrators of any syndicate you subsequently join while the licence remains on file, will be able to see two facts: that you have uploaded a licence, and the date you uploaded it. The licence document itself is never shared.
Medical certificates and explicit consent. A pilot medical certificate, and information about it such as its expiry date, is special-category health data under UK GDPR Article 9. Whether you record just the expiry date or upload the certificate as well, we ask for your explicit consent under Article 9(2)(a) before anything is stored. This clause restates the practical effect of that consent so you can see it in your contract.
If you record a medical, with or without uploading the certificate, the administrators of every syndicate you are presently a member of, and the administrators of any syndicate you subsequently join while your medical remains on file, will be able to see two facts: that you have a medical recorded, and the expiry date you recorded. They will not be able to see the certificate document itself (where one is uploaded), your medical class, any limitations recorded on it, or any other clinical information.
Withdrawal of consent and right to erasure. You may delete your medical, or just its certificate file, at any time from Settings → My Documents. Deleting everything removes the certificate file (where one is uploaded), removes the expiry date visible to administrators, clears your consent record, and removes any copies from your own devices; a future medical will require fresh consent. Deleting just the file removes the certificate from Syndik8 and from your devices while keeping the expiry date, and your consent, in place.
Accuracy of self-reported expiry. The expiry date you record against your medical, and any expiry dates recorded against syndicate or asset documents, are self-declarations by the person uploading them. Syndik8 does not verify them against the underlying document, the issuing authority, or any other source. Entering an inaccurate expiry — including one that is later than the certificate actually expires — does not extend the legal validity of the underlying certificate and does not relieve any user of their responsibilities under applicable law, including the Pilot in Command responsibilities described in section 7.
10. Privacy
Your use of Syndik8 is also governed by our Privacy Policy, which is incorporated into these terms by reference. By using Syndik8, you consent to the collection and use of information as described in the Privacy Policy.
10.1 Service Communications
By using Syndik8 you agree to receive operational notifications about your syndicate's activity. Most notifications can be configured or silenced in your account settings — including switching email delivery to a daily, weekly, or monthly digest. A small number of notifications — Direct Debit notices, payment account status alerts (for administrators), syndicate deadline reminders, and billing-accuracy alerts — are required to operate the service. Email for these notifications is always sent and cannot be turned off while you are an active member. Push notifications for the non-Direct-Debit categories can be turned off in your notification preferences. The Privacy Policy lists these notifications in full and explains the legal basis on which each is sent.
11. Syndicate Rules
Syndik8 enables syndicate owners to set their own rules, pricing, and policies. These syndicate-level rules are agreements between members and are not enforced or guaranteed by Syndik8. Disputes between members should be resolved amongst themselves. Syndik8 is not a party to any syndicate agreement.
12. Suspension and Termination
You may close your account at any time from within Syndik8, in your account settings, or by contacting us at [email protected]. If you have an active paid subscription, cancellation of your subscription and closure of your account are separate actions; closing your account also cancels any active subscription.
We may suspend or terminate your account if we reasonably believe you have breached these terms, or if required to do so by law. Where possible, we will give you reasonable notice and an opportunity to remedy the breach before taking action.
We may also remove syndicates and accounts that have been left unused. A free syndicate with no activity for a prolonged period, currently around six months, may be deleted along with its data. An account that no longer belongs to any syndicate may be closed after a shorter period, currently around two months. In each case we email advance warning to the address on the account, and any activity before the stated date stops the removal. Syndicates on a paid subscription are not removed for inactivity while the subscription is active.
When your account is closed (whether by you or by us), we will delete your personal data within 30 days, except where we are legally required to retain it. Syndicate records that you contributed to (such as maintenance logs and financial entries) may be retained in anonymised form for the benefit of remaining syndicate members.
13. Changes to These Terms
We may update these terms from time to time. We will notify users of material changes by email or via an in-app notice at least 14 days before the changes take effect. For changes to fees or payment terms, we will give at least 30 days' notice. Continued use of Syndik8 after changes take effect constitutes acceptance of the revised terms. If you do not agree to the updated terms, you should stop using the service and close your account.
14. Governing Law
These terms are governed by the laws of England and Wales. Any disputes arising from these terms or your use of Syndik8 shall be subject to the exclusive jurisdiction of the courts of England and Wales.
